Templates
Users can create shopping templates within Hybrent. These are good for short lists of items that are ordered frequently.
- Creating a Template
- Click on Templates on the left hand blue bar.
- Search
- Can search for an existing template to edit by name
- Facility
- Can narrow the list of templates to only those for a specific facility
- Search
- All the way to the right, click on the Search button to refresh the list below with the filters listed above.
- Add Template
- Choose the facility the template is for.
- Cannot choose multiple facilities.
- Name Template
- Click Save
- Choose the facility the template is for.
- Edit Template
- Share within facility?
- NO
- Only user who created the template will be able to see and use it.
- YES
- All users within the facility will be able to see and use the template.
- NO
- Add Item (upper right hand corner)
- Search for items by Name, Manufacturer number, SKU, Quick Code or Crosswalk ID.
- Click ADD next to the items you want to add to the template.
- Can adjust the quantity of the item you want on the template by using the + or – button.
- Click ADD next to the items you want to add to the template.
- Search for items by Name, Manufacturer number, SKU, Quick Code or Crosswalk ID.
- Reorder Items
- Once all items are added onto the template, you can change the order in which they are listed by clicking this button.
- Drag and drop the items into the order you want them to be listed.
- Group by Vendors
- Check the box if you want items in the template to be grouped by vendor.
- Item Tab
- Lists the line items in the template.
- Can adjust the quantity of the line items in the template.
- Schedule Tab
- Can set this template to automatically generate a PO on a particular schedule.
- Share within facility?
- Search
- Click on Templates on the left hand blue bar.
- Ordering From a Template
- Click on Templates from the left hand blue bar.
- Search for the template you wish to shop from.
- All the way to the right of the name of the template, click on USE
- At this point, it is almost exactly like being in the shopping cart.
- Select Department
- If all items are going to be for the same department, you can select the department here and it will set that for all items in the template.
- Vendor Headings
- Receive Only
- Marks items for that vendor as receive only.
- Use My Own PO #
- Allows user to use their own PO number for the order.
- Special Instructions
- Allows user to add special instructions for the order.
- TOP TIP: If the items are patient critical, remember to call the vendor to make sure they see the special instructions.
- Allows user to add special instructions for the order.
- Line Items
- Can see the description, SKU, price of item
- Can adjust the quantity of the item you want to order.
- Attach Department
- Can attach or change the department to a specific line item.
- Attach Physician
- Can attach a specific physician to the line item.
- Receive Only
- Once all items have been reviewed, Click “Generate PO”
- Facilities with Approval Workflows: PO goes to be approved.
- Facilities with NO Approval Workflows: PO goes out to the vendor.
- Click on Templates from the left hand blue bar.
